Who we are

BeepBack ("we," "us," or "our") is a missed-call answering and text-back service operated by Sena Engineering LLC, a New Jersey company. You can reach us at hello@getbeepback.com.

What this policy covers

This policy covers the BeepBack service: answering calls that participating local service businesses do not pick up, including the spoken greeting, any voicemail we record and transcribe, and the lead we create from it, together with the automated SMS text-back and follow-up questions sent on that business's behalf, and the website getbeepback.com.

Information we collect

When you call a participating business and the call goes unanswered, we receive your phone number and call metadata (such as the time of the call and that it was missed). If you leave a message we also receive the recording, a machine transcription of it, and the details we read out of it, such as the work you need, when you need it, the address and your name. We use these to create a lead for the business and to tell the business you called, and, once that business's number is registered for texting, to text you back on its behalf. If you reply, we also collect the content of the SMS conversation and any details you choose to provide, such as the service you need, timing, your address, and your name. If you are a business customer, we also collect the information you provide at sign-up, such as your name, business name, email address, and phone number. Once billing starts, business customers also provide payment information; payments are handled by a third-party payment processor, which receives the details needed to process them.

Our marketing website, getbeepback.com, uses cookies only for the advertising measurement described below. If you email us, we receive what you send. On the website we use Cloudflare Web Analytics, a cookieless performance measurement that counts page views and load times without collecting personal information; Cloudflare does not set cookies or build a cross-site profile of you. When you arrive from an ad, a campaign link, or a referral, we capture, in your browser's temporary session storage, the campaign and referral parameters in the URL (such as utm_source, gclid, fbclid, a referral code, and the trade named in the ad you clicked), plus the name of the website you came from if you arrived from somewhere other than our own pages and pass them to our signup page so we can credit the source. These are not cookies and are cleared when you close the tab. They are also used for the advertising measurement described below.

The BeepBack app that business customers sign in to works differently: it uses cookies or similar storage to keep you signed in, and it uses PostHog, a product-analytics service, to record how the product is used, through specific events we choose (such as signing up, signing in, pausing, or canceling), tied to your business account. We use this to understand and improve the product. Where a business customer arrived from one of our own ads, the campaign labels above are recorded on that sign-up event too, so we can tell which ad brought them; that is measurement of our own advertising, and it never involves a caller. There is no automatic click tracking and no session recording, and callers are not part of it: caller message content is never sent to our analytics provider.

How we use information

In every conversation with a participating business, Sena Engineering LLC receives, stores, and processes messages as a service provider acting on behalf of, and at the direction of, that business. Our own demonstration line is the one exception, described below. We use this information to text you back on behalf of the business you called, ask follow-up questions about your request, and pass your request to that business so it can respond and schedule the work. We also use it to operate, support, and improve the service and to send business customers service-related messages. Automated tools, including AI, are used internally to organize and summarize conversations for the business. The text messages you receive are pre-written templates. AI never composes them on the fly.

SMS / text-messaging disclosures

Our service sends automated text messages triggered when your call to a participating business is missed. Message frequency varies depending on your conversation, typically 4–7 messages total. Message and data rates may apply.

Reply STOP at any time to opt out. This stops all further automated messages sent through our platform from that business's number, and your opt-out stays in effect unless you reply START to opt back in. You will receive one final message confirming your opt-out. Reply HELP for help, or contact us at hello@getbeepback.com.

Consent to receive text messages is not a condition of purchasing any product or service.

Sharing

Your information is shared only with the specific business you contacted and with the service providers we use to operate the platform, and as required by law. Those providers are Cloudflare (hosting and delivering this website, protecting it from abuse, the cookieless analytics described above, and routing email sent to our addresses), Twilio (voice calls and SMS delivery), OpenAI (structuring the details of your request, and transcribing your voicemail if you leave one), Stripe (billing for our business customers, which does not involve caller data), PostHog (usage events inside the app our business customers sign in to), and Resend (delivering the emails we send, including the lead notification we send a business when someone calls it, which carries that caller's details). Each acts on our instructions and may use your information only to provide that service to us. Meta (Facebook and Instagram) is different from those providers and we list it separately for that reason: it receives website activity from getbeepback.com and uses it for its own advertising purposes as well as ours, which California law calls sharing for cross-context behavioral advertising rather than a sale. If we ever advertise on Google we would share the same kind of click information with Google for the same purpose, and the choices below cover that too. That sharing covers website visits and on-page interactions. It never covers callers, caller phone numbers, SMS opt-in data, or anything said in a text conversation. We do not sell your personal information. Mobile information and SMS opt-in data are never shared or sold to third parties, affiliates, or lead generators for marketing or promotional purposes. The same is true of your consent records.

Because we handle each conversation on behalf of the business you contacted (that business directs how its customer data is used, and we act as its service provider), we may return or export to that business the conversation data we hold for its account, for example when the business requests an export or when its account ends. Your choices are honored in any such export: if you asked us to delete your messages or replied STOP, those are excluded. This is not a sale of your information, and it is not sharing for advertising.

If Sena Engineering LLC is ever part of a merger, acquisition, financing, or sale of assets, the information we hold may be transferred as part of that transaction, but only to a successor that agrees to honor this policy, including the promises above about your phone number, opt-in data, and opt-outs. We may also share information where needed to enforce our Terms, prevent fraud or abuse, respond to legal process, or protect the rights, property, or safety of callers, businesses, or others.

Voicemail

When our system answers a call to a participating business, you hear a short spoken notice, in that business's name, telling you the message is recorded and transcribed by an answering service acting for it. Recording starts only after that notice, and only your message is recorded: the notice itself and anything before it are not. The business cannot switch the notice off. If you then leave a message, we record it, transcribe it so the business can read what you need, and show both to that business alongside your request. You do not have to leave a message: you can hang up at the notice and no recording is made. We still have your number and the fact that you called, and the business is still told you rang.

Recordings and their transcripts are kept for up to 12 months and then deleted, on the same schedule as message content. Transcription is performed by OpenAI on our instructions. OpenAI does not use data sent through its API to train its models, and it keeps abuse-monitoring logs of API requests for up to 30 days under its own policy.

Our demonstration line

We publish a demonstration number, (856) 514‑8489, so anyone can hear what the service does before signing up. Calling it means calling Sena Engineering, not a customer of ours: for that call we are the business, not a service provider. It is answered by the same system, with the same spoken recording notice, and any message you leave is recorded and transcribed exactly as it would be for a customer. We use those calls to demonstrate the product and to count how many people try it. We delete demonstration calls, their recordings and their transcripts within 30 days, and you can ask us to delete yours sooner at hello@getbeepback.com.

Data retention and security

Apart from calls to our demonstration line, which are covered above, we keep message content, caller phone numbers, call metadata, and any voicemail recordings and transcripts in our systems for 12 months, then delete or redact them. The providers that carry our messages may keep copies for a time under their own retention schedules. Opt-out records are kept as a legal record so your opt-out is always honored.

Within our own systems, we protect information with encryption in transit and at rest and limit access to what is needed to operate the service. Standard SMS messages are not encrypted once handed off to wireless carriers. That is true of any text message. Our own systems are in the United States. Some of our providers run global networks, so a request from you may be handled by their infrastructure outside the United States.

Advertising and your choices

We advertise on Facebook and Instagram, so getbeepback.com runs the Meta Pixel. It sets as many as two cookies on our own domain and reports the pages you view here and how you interact with them, such as which call-to-action you tapped and how far down a page you scrolled, to Meta, which Meta uses to measure our ads and to show ads to people like you. If you arrived from one of our ads and later create an account, we can also send Meta, and Google if we ever advertise there, a record of that sign-up matched to the click identifier from the ad you clicked, so the ad network can attribute it. That record is sent from our servers rather than from your browser, so it is the one part of this that the browser controls described below cannot reach; withholding the click identifier in the first place is what prevents it, and that is what the opt-out does. That is advertising use, not only measurement. We do not run it on any page that shows a caller's messages, and we never send Meta a caller's phone number or the contents of a text conversation.

You can turn all of that off at any time, and it takes effect for this browser immediately. Doing so stops any further collection, and because we withhold the click identifier at collection there is nothing left for the sign-up record described above to be matched to:

None of these change the service you get, your price, or whether we text your callers back. We will never treat you differently for using them.

Your choices and your rights

You can stop receiving messages at any time by replying STOP (or anything that clearly asks us to stop). You may also request access to, correction of, deletion of, or a copy of your information by emailing hello@getbeepback.com, regardless of where you live. We honor requests from callers and business customers alike.

Deleting your information from BeepBack does not delete copies already delivered to the business you contacted. Contact that business directly for its records. To protect your information, we verify requests using the phone number or email address associated with the data before acting on them. We will never treat you differently for exercising any of these rights. Some records (like opt-out logs) must be kept to comply with law, and we will tell you if that applies to your request.

Children

The service is not directed to children under 13, and we do not knowingly collect information from them. If we learn we have collected personal information from a child under 13, we will delete it promptly.

Changes and contact

If we update this policy, we will post the new version on this page with a new effective date. If we make material changes to how we handle information already collected, we will take reasonable steps to notify affected people (for business customers, by email) before the changes take effect. If a change would use information we already collected in a materially different way than this policy described when we collected it, we will ask for permission first.
